Choosing an India Ground Handler: An Agent's Checklist
A practical checklist for travel agents comparing India ground handlers: service scope, net quotes, white-label delivery and guest handovers.
Choosing a ground handler is an operations decision as well as a price comparison. A cheaper number can leave out a guide, room supplement or return transfer that your client expects. This checklist helps independent travel advisors and tour operators prepare one comparable brief, evaluate the written response and agree the handover before confirming an India programme.
1. Write the brief before comparing suppliers
Send each potential partner the same itinerary outline. Include the dates, starting and ending cities, flight or train details when known, adults and children, room count and luggage needs. Distinguish confirmed client requests from ideas you are still exploring. Without this common starting point, two apparently similar quotes may describe different holidays.
State the pace and priorities. A party interested in long museum visits needs a different city plan from travellers who mainly want exterior photographs. Add language requirements, walking limitations and an approximate budget with currency. For an initial estimate, use age bands and operational requirements rather than sending passport documents.
- Dates or clearly labelled flexible travel window
- Adults, child age bands, rooms and occupancy
- Arrival/departure points and already-booked services
- Language, pace, must-see sights and budget currency
2. Separate the items that change the price
Compare vehicle category, daily use, guiding hours, accommodation, entry tickets and meals line by line. Ask whether fuel, parking, tolls and driver expenses are included in the transport rate. For rooms, a star label alone is not enough: location, room category, breakfast, occupancy and availability all affect the service being offered.
Ask for exclusions with the same care as inclusions. A single-room supplement, late-arrival transfer, additional waiting time or domestic transport sector can change the final cost. If one item is still unpriced, keep it visibly pending rather than treating an estimate as a confirmed package.
- Separate transport, guiding, hotel and entry components
- Check private versus shared services
- List optional meals, upgrades and extra hours
- Confirm quote validity, currency and applicable charges
3. Check who is responsible for local delivery
Ask who coordinates the arrival and who the agency contacts if a service changes. Establish whether the itinerary uses individual city guides or a travelling escort. A private driver is not automatically a sightseeing guide. For an Agra rail arrival, request a station meeting plan; for a Delhi airport arrival, agree how flight delays and terminal changes will be handled.
Where a supplier claims a licence, professional membership or specialist qualification, ask for current supporting information and check the issuing organisation. Do not convert an unchecked logo, old review or social-media claim into a promise to your customer. Language and specialist guide requests should be confirmed for the relevant destination and date.
4. Define the white-label arrangement
Agree what your client will see: the voucher, arrival board, contact instructions and supplier names. Some hotel or transport documents may retain the issuing supplier's identity. A white-label request should describe the communication process, not just ask for a logo on a proposal.
Confirm who collects the traveller's payment, who pays local suppliers, how amendments are approved and what information is needed for each booking. Retail tour prices and public coupon offers should not be presented as negotiated net rates unless the supplier has explicitly offered them on that basis.
5. Confirm availability and cancellation exposure
Before paying a deposit, obtain the agreed itinerary and service list, payment milestones, cancellation conditions and the procedure for refunds or supplier changes. Check whether the quote is subject to hotel, train or safari availability. A preferred property, language guide or permit category is not confirmed merely because it appeared in the first proposal.
Build time into the route for transfers and guest comfort. If an arrival changes, ask the handler to explain which services are affected and obtain the client's approval for material substitutions. Keep the latest accepted version of the itinerary so the agency, local operator and travellers work from the same plan.
6. Evaluate a first booking with a simple handover review
Start with a service scope that your team can review clearly, such as an Agra excursion or a private Golden Triangle itinerary. After travel, compare the delivered services with the written confirmation and invite specific feedback about meeting instructions, guiding, vehicle comfort and communication. Use that evidence to decide whether to extend the relationship.
Travelite Taj Tours accepts agency briefs for Agra ground handling, white-label Delhi–Agra–Jaipur planning and language-guide coordination. Send your dates and service requirements through the relevant trade page. Availability and commercial terms are confirmed for the proposed booking; this checklist is planning guidance, not a universal supplier contract.
Frequently asked questions
What should an India DMC quotation include?
At minimum, ask for the dated itinerary, guest and room basis, service inclusions, exclusions, currency, payment milestones, availability conditions and cancellation terms.
Is a local ground handler the same as a tour guide?
Not necessarily. Ground handling can coordinate several suppliers and transfers. Guiding is a defined sightseeing service; confirm whether your quotation includes one, several local guides or an escort.
How can we request a relevant trade quote?
Send one complete brief with dates, route, guest numbers, rooms, language and services already booked. Ask for confidential commercial terms separately from public retail offers.
